Faculty-led Program Proposal

WVU faculty-led programs provide students with opportunities to earn WVU credit while engaging in meaningful international experiences. Faculty leaders proposing a course abroad are required to complete the annual faculty-led program proposal process.

Faculty, staff, and students traveling internationally for academic conferences or other non-teaching activities should complete the WVU International Travel Registration instead.

Additional information regarding policies, best practices, and program development timelines can be found on the Resources page.

New Faculty-led Programs   (Returning programs can proceed to the full proposal below)

Faculty interested in developing a new program should submit a New Faculty-led Program Request by July 1 for programming being offered the coming academic year. This request will be used to provide OGA support for programs anticipated to be offered during the following academic year.

This initial request allows Education Abroad to provide guidance and support during the early stages of program development.

The New Faculty-Led Program Request may be used to:

  • Review the current faculty-led program portfolio to identify potential concerns related to program overlap, competition, and viability;

  • Connect faculty with approved program providers and institutional partners;

  • Initiate the review process for new program providers when necessary; and

  • Provide guidance on timelines, budgeting considerations, risk management, and proposal expectations.

For the purposes of this process, new programs include:

  • Programs that have not previously been offered through WVU; or

  • Existing programs undergoing significant changes, such as a new destination or a new program provider.

The following changes do not require submission of a New Faculty-Led Program Request and may be addressed through the annual proposal process:

  • Changes in faculty leaders or chaperones;

  • Adjustments to program dates or itinerary details;

  • Minor revisions to course content or syllabi;

  • Other routine program updates that do not substantially alter the nature of the program.

Following consultation with Education Abroad and the selection of an approved provider, faculty leaders proposing a new program must complete the formal Faculty-Led Program Proposal and obtain all required approvals before the program may be promoted or offered to students.

The proposal process includes review by Education Abroad, international risk management personnel, the department chair, and the dean or dean's designee, as applicable.
