Planning international travel with a WVU student organization? Register your trip with Education Abroad to complete required university review and access health, safety, and emergency support resources.

Student organizations planning international travel are required to register their travel with WVU Education Abroad prior to departure.

The registration process helps ensure travelers receive important health, safety, and risk management information before traveling abroad. It also allows the university to provide support and resources in the event of an emergency, travel disruption, or other incident affecting travelers overseas.

Student organizations are encouraged to begin the registration process as early as possible. International travel often requires additional planning, including destination-specific health and safety considerations, travel documentation requirements, and university review procedures.

Who Must Register?

This process applies to WVU student organizations traveling outside the United States for organization-sponsored activities, including but not limited to:

  • Conferences and competitions
  • Service and volunteer projects
  • Cultural exchanges
  • Performances and events
  • Academic activities
  • Leadership programs
  • Other organization-sponsored international travel

Registration is required regardless of whether academic credit is earned.

Before You Register

Student organizations should have a general understanding of their proposed travel plans before beginning the registration process, including:

  • Destination country or countries
  • Anticipated travel dates
  • Purpose of travel
  • Organization advisor information
  • Estimated number of participants

Organizations should not make non-refundable financial commitments until all required university reviews and approvals have been completed.

Review Process

After submission, Education Abroad will review the registration and may contact organization leaders or advisors for additional information. Depending on the destination and nature of the travel, additional review or documentation may be required.

Organizations will receive guidance regarding next steps, traveler requirements, and any additional approvals necessary before departure.
